Q: How long are wedding time frames?
A: All wedding rentals allow access to the space for an 8-hour period. We try to be as flexible as possible with vendor load in and load out, as our schedule allows. Generally, vendors can arrive as early as 8:00am on the day of the event and load out by 12:00pm on the day following your event. 

Q: What does set-up and tear-down entail? 
A: Troddenvale at Oakley Farm staff takes care of setting up all of our tables, chairs, and soft-seating areas before your rental begins so that when you arrive on your wedding day, all of the big setup items are already taken care of! At the end of the night, smaller decor like florals, table numbers, and custom signage as well as removal of any non-food trash from the event space should be handled by your florist, coordinator, or is DIY. Your catering staff is required to dispose of all food-related trash at the end of the evening.

Q: Can I add my own decorations to the stable?
A: We invite all of our couples to make the space their own! Any decorations that you add to the space are your (or your vendor's) responsibility to install and remove. Anything left behind after the rental period may be discarded during our final inspection & cleanup. In addition, you may not install a decoration that could damage the property (i.e. using staples, nails, glue...). Hanging decorations may be achieved using existing anchor points, by tying string around cross beams, or at the express permission of Oakley Farm staff.

Q: Does Troddenvale at Oakley Farm have a curfew?
A: In accordance with Bath County ordinance, events at Oakley Farm have a curfew of 11pm.

Q: Does the stable come with the string lights and uplighting or is that added for each event?
A: While the stable does not currently have lights, cantina lights may be strung in the main event space (downstairs) or above the stable patio at no additional cost.

Q: What if the weather does not allow for an outdoor ceremony?
A: The North Stable makes an excellent indoor ceremony location in the event of inclement weather, or we allow additional tents to be set up on the property. For vendor recommendations, please contact our team via email. For parties of 75 or more, we highly suggest renting a tent to provide adequate covered space for guests.

Q: When do we have to remove everything from Oakley Farm?
A: Load out should be completed the night of your event. Any items left behind need to be designated as trash or not, as Troddenvale staff will be cleaning the stable and prepping for the next event! At Troddenvale’s approval, you may retrieve items the day following your event before 12:00PM.

Q: May cars be left overnight?
A: You and your guests' cars may be left overnight as long as they are retrieved before 12:00PM the day following your event.

Q: How do I hold and/or book a date?
A: We offer a 10 day hold on your date, once you request a contract. To officially lock in your date, you have to sign your contract, and pay 50% of the grand total of the venue cost. This includes the venue fee, a $500 security deposit, and state sales tax. It can also include any of the add on rentals (airstream kitchen, grill wagon, patio tent), but those may be added as late as 30 days before your wedding date, when the final balance is due. Q: Do you allow alcohol and can we bring our own? 
A: Yes we do allow alcohol service in accordance with ABC and Virginia Laws. All alcohol must be served to guests by your caterer. Guests may not bring or self serve their own alcohol. In addition, we require each event to purchase cider and wine through Troddenvale at Oakley Farm, which includes a cider minimum, based on the number of guests.

Q: What is Troddenvale at Oakley Farm’s max capacity?
A: The North Stable offers a max seated capacity of 70. The stable patio— which includes a fireplace, wood furniture, bench seating, and cantina lights (if requested)— adds 800 square feet of space, and may be covered through the use of our event tent, connecting directly to the North Stable. The Hayloft space located upstairs in the North Stable also provides additional space for dancing, lounging, or a second bar. The stable is surrounded by additional event lawns and there is also room for up to a 30x80 foot tent on the boxwood lawn next to the main house for a maximum venue capacity of 200 guests. 

Q: Can I hire a caterer outside the vendor list on Troddenvale at Oakley Farm’s website?
A: You may hire a caterer outside of the list on our Vendor Page, as long as they adhere to our banquet insurance policy. We require at least one meeting at Oakley Farm with your caterer 60 days before your event.

Q: Do vendors have to have liability insurance?
A: Yes, all vendors must have a certificate of general liability insurance on file with Troddenvale to work your event. Remember to ask vendors about this when hiring them!
